HomeMy WebLinkAbout10 Televising Board Meetings Agenda Item # AV r "WAR Illi`W i II (If 11W1 Memorandum To: Board of Directors From: Alan Harry, Director of Telecommunications Services Date: January 25, 2005 Subject: Televising TDPUD Board Meetings Summary At your request Staff brought forward ideas regarding the carriage of District Board meetings on Truckee Tahoe Community Television 6 (TTCTV6) to your second meeting in January 2005. That evening Board consensus was to air District Board meetings live over Truckee Tahoe Community Television 6, and further that multiple cameras should be used. In that the item was scheduled as a Workshop, no formal action was taken. History The carriage of public meetings on TTCTV6 began while the Town of Truckee Council meetings were held in the TDPUD Board Room. At that time cameras were placed in the rear of the Board Room and were operated by students and volunteers. Today several local public agencies have their meetings televised on TTV6. At your meeting of January 19 you came to consensus regarding the live carriage of District Board meetings, and that multiple cameras , that all ancillary equipment should be purchased, and that the storage room adjacent to the Board chambers should be used as the control room. You further asked staff to come back at your first meeting in February for formal Board action. New Information As discussed at your January 19 workshop, staff has meet with John Echols, TTHS Instructor and Manager of TTCTV6, regarding the televising of TDPUD Board meetings. •Page 1 Per your instructions I have advised John that the Board would soon take action regarding the carriage of District meeting on TTCTV6, and that specific equipment, below, would need to be purchased and installed. 3 Canon Pan Tilt Zoom Cameras 3 Camera Mounts 1 Telemetrics Camera Controller System (will control up to 4 cameras) 1 Focus Enhancements Switcher/ Mixer 1 Focus Enhancements Scan Converter 1 Kramer Computer DA 1 : 2 (output to the projector and the scan converter) 2 Panasonic 131, Monitors ( for Program/Preview on the Switcher) 1 TOA Audio output module for you current audio/mic mixer (for slot 5 or 6 only) Cables to wire systems & misc . parts Install & Training As discussed, TDPUD will need to hire a consultant to wire and install this equipment. Staff has been in contact with HT Electronics in Reno and has been advised that the cost of the above equipment, installation and training will not exceed $12,500. Recommendation It is recommended that the Board direct staff to purchase and install the necessary video, switching and ancillary equipment to allow the live carriage of District meetings on TTCTV6, at a cost not to exceed $12,500. Further, to direct staff to enter into a contract with TTCTV6 for a camera person at a cost of$50 per hour. •Page 2
