WHY THIS ITEM IS BEFORE THE BOARD Earlier this year we upgraded almost all of the District's personal computers to newer technology, thereby freeing up the old computer hardware and software for disposal. Additionally, over the last few years various pieces of computer and office equipment have become broken or obsolete. These pieces of equipment are very old and worn or have been replaced with newer technology. We also have many other software licenses that are very outdated. Only the Board can declare these items as surplus. Attached are listings of the computer hardware, software and office equipment that we would like to dispose of. I have also included a copy of a resolution and a copy of the District's surplus policy for your review. RECOMMENDATION: To adopt the attached resolution declaring the lists of computer hardware, software and office equipment surplus and authorize the General Manager to dispose of said property in accordance with District policy. M ��II i • ` Resolution No. 2004- Declaring certain computer hardware, software and office equipment as surplus and authorizing staff to dispose of it in accordance with District policy WHEREAS, the District owns computer hardware, software and office equipment listed on the attached as Exhibit A; and WHEREAS, the listed computer hardware, software and office equipment is not necessary for the District's use; and WHEREAS, the District could dispose of the computer hardware, software and office equipment and utilize the funds from the sale of said assets for other purposes. NOW, THEREFORE, BE IT RESOLVED thatthe Board of Directors adopts the above recitals as its findings; and BE IT FURTHER RESOLVED that, for the reasons set forth above, the Board declares the computer hardware, software and office equipment listed on Exhibit A attached, as surplus property; and BE IT FURTHER RESOLVED that the General Manager is directed to dispose of said property in accordance with District policy. Holzmeister, District Clerk 8.20.010 Disposal of Surplus Inventory Materials Office Equipment and Vehicles 8.20.010.1 Items of inventory, materials, office equipment and vehicles considered by staff to be no longer necessary shall be listed on an appropriate form and presented to the Manager. 8.20.010.2 When suitable, the Manager shall direct that a resolution declaring the items surplus and issuing a call for bids be drawn up and placed on an agenda for Board review and approval. 8.20.010.3 The Manager shall advertise the sale of the surplus items in the appropriate newspapers and journals. 8.20.010.4 The bid opening date shall be as indicated on the pertinent resolution. 8.20.010.5 In the event that bids are not received on some items, or the General Manager determines that the bids received on certain items are not sufficient, the Board may authorize the General Manager to dispose of such items at his discretion. 8.20.010.6 No Board member may bid on or purchase surplus property from the District. No person who makes, participates in the making of, or influences the decision to dispose of surplus property may bid on such items. This includes District staff, consultants, advisory committee members and all other individuals who make, participate in the making of, or influence the decision regarding the disposal of surplus property.
