Why this matter is before the board: Board Authorization is required for expenditures in excess of $15,000.00. 2. History: The Board previously authorized staff to advertise for the Storage Tank Rehabilitation - 2007 project. 3. New information: On May 23, Bids were received and opened for this project. Staff has totaled and reviewed all bids. According to California Codes, Public Contract Code, Section 5103, a bidder may give written notice to the public entity within five working days explaining the mistake. Staff is satisfied that the error was made in filling out the bid form and not due to error in judgment or to carelessness in inspecting the site of the work in accordance with Public Contract Code Section 5103. Bids came in higher than expected. The Water Department's 2007 budget allocated $100,000 for storage tank maintenance, which is only enough to cover the cost of recoating one tank. Of the two tanks, Sierra Meadows is more critical to the system. 4. Recommendation: 1. The Board of Directors delete Bid Schedule 2 and associated Work from the Storage Tank Rehabilitation - 2007 project. 2. The Board of Directors award the Storage Tank Rehabilitation - 2007 project to Olympus & Associates, Inc., in the amount of $83,825.00.
