HomeMy WebLinkAbout10 Microsoft through CDW-Goverment 2021-2022p' TRUCKEE DONNER Public Utility District MEETING DATE: October 6, 2021 TO: Board of Directors FROM: Trey Griffin, Acting IT Director AGENDA ITEM # 10 SUBJECT: Consideration to Execute an Enterprise License Agreement with CDW Government APPROVED BY RECOMMENDATION: Brian C. Wright, General Manager Authorize the General Manager to execute a contract with CDW Government for the renewal of the Districts Microsoft software package with an amount not to exceed $40,000. BACKGROUND: In November 2019 the District entered into a 3 year Enterprise License Agreement with Microsoft to procure our Microsoft license requirements. The District uses Microsoft for all of our server, database and desktop operating system software, in addition to managing and securing our email system. In addition to the ELA, every year the District analyzes the number of Microsoft software licenses it uses, and balances that number to the District's Enterprise License Agreement with Microsoft. If the District is using more licenses than is allowed by this agreement, the District is required to true -up our license quota, by purchasing the extra license(s) required to be in compliance. At the beginning of 2021 the Board approved procurement of our Microsoft package in the amount of $40,000, this procurement carried the District through October 31, 2021. It is now time to renew our contract for November 1, 2021- October 31, 2022. The District is eligible to take advantage of State bids through CMAS, by way of District code 3.08.060 Joint Purchasing with the State of California and Other Public Agencies. This section states, in part, that "The District may purchase materials, equipment, supplies, information technology products and services through the State of California procurement program...". Staff is recommending that the Board as part of the terms of our 3 year agreement, Page 1 of 2 approve the 2021 /2022 renewal in an amount not to exceed $40,000. 1.05.020 Objectives: 1. Responsibly serve the public. 6. Manage the District in an effective, efficient, and fiscally responsible manner. 1.05.030 Goals: 3.4. Conduct effective and efficient operations, maintenance, and replacement programs. 6.1. Utilize modern, cost effective work methods and equipment. FISCAL IMPACT: Sufficient funds exist in the IT operating budget for FY 2021 software and hardware purchases. ATTACHMENTS: None Page 2of2
