Agreement with CDW Government

RECOMMENDATION:
Authorize the Interim General Manager to execute a contract with CDW Government for
hardware and software support services with an amount not to exceed $76,764.60.
BACKGROUND:
In 2017, the District embarked on replacement of information technology infrastructure. At
this time, the District invested upwards of $500,000 on this critical server upgrade.
At that time, the growing demands of the District’s enterprise applications were evident and
accounted for in this upgrade. Nutanix’s Hyper-converged infrastructure streamlined the
deployment, management, and scaling of the datacenter resources by combining x86-
based server and storage resources with intelligent software with a software solution.
Separate servers, storage networks, and storage arrays were replaced with a single hyper-
converged solution to create an agile datacenter that easily scaled and migrated with the
District’s business plans.
Since that time, yearly, the District has procured software and hardware support services
through CDW Government.
In January 2021 the Board of Directors approved the cost of extending this software until
October 19, 2021. The District has received from CDW Government a quote for renewal
which would take us through December 31, 2022. The cost to renew is quoted at
$69,786.00, allowing for a 10% contingency the expected not to exceed cost would be
$76,764.60 With the critical operations necessity of this procurement, staff is requesting
the Board approve this increase.

FISCAL IMPACT:
Authorize the Interim General Manager to execute a hardware and software support
agreement for Nutanix, through CDW-Government in an amount not to exceed $76,764.60.
Sufficient funds exist in the IT operating budget for FY 2021 software and hardware
purchases.
