WHY THIS MATTER IS BEFORE THE BOARD All expenditures in excess $15,000 requires Board approval. This is one of many steps in the effort to provide a safe and secure environment for District staff, material, equipment and vehicles. 2. HISTORY The District purchased the property located at 11510 Forest Lane, directly behind the District parking structure in 1991. The need for additional storage for material and equipment required the temporary fencing every summer of a small portion of the parcel for the past 15 years. Even with the temporary yard District staff becomes quite creative in the storing of material and the parking of District vehicles and equipment. Letters were sent to all neighbors in June of 2014. All responses were positive toward the fencing of the parcel. The few comments that were received were incorporated into the layout of the parcel. There was one very large boulder that was broken up and used to delineate the northern boundary of the property and to protect the portion of the parcel that abuts Glenn Road. 3. NEW INFORMATION District staff placed an ad in the Sierra Sun on May 207 2015. In addition to sending bid documents to six fencing contractors, documents were also sent to CATT. A non -mandatory walk through of the project site was held on May 27t", the only date that District staff was available, only one contractor was in attendance. This was not unexpected as the fence project is relatively simple. The bid opening was held on Wednesday June V; two bids were received. Both bids were considered complete and responsive. The bid results are as follows: • Truckee Fence, Truckee, CA 4)19,000 • Tholl Fence Company, Sparks, NV $285499 4. FISCAL IMPACT Sufficient funds exist within the FY15 budget. Funds will come from the Electric Department General Fund. 5. RECOMMENDATION Authorize the General Manager to execute the contract for the fencing of the District parcel located at 11510 Forest Lane to Truckee Fence for $19,000 with a 10% change order allowance for an amount not to exceed $20,900.
