WHY THIS MATTER IS BEFORE THE BOARD Only the Board can approve professional contracts over $15,000. 2. HISTORY The District's main office building has been cleaned by a contract janitorial service for more than twenty years. The current contract is awarded to Debbie Madera Complete Cleaning Service. The current contract is not to exceed $63,000 based on a detailed "Scope of Services" (Exhibit A). 3. NEW INFORMATION The District remodeled a portion of the warehouse in 2015 to include an employee breakroom for the Electric Department, in addition to a Water Department Locker Room. These areas are in addition to the original agreed upon scope of work. The proposal from D.M. Janitorial Services to include these areas is an additional $300 per month, $3,600 per year. 4. FISCAL IMPACT Sufficient funds exist within the proposed FY16 budget for janitorial services. 5. RECOMMENDATION Award the amendment to the contract for janitorial service to D.M. Cleaning Service in the amount of $3,600 per year allowing for a total annual amount not to exceed $66,600. Jeremy Popov Administrative Services Manager Michael D. Holley General Manager Page 1 of 3 Exhibit A Scope of Services The District is issuing this RFP for the general cleaning of the District headquarters office. The District office is 44,300 square feet. The cleaning area within the District office is 27,000 square feet. The services required include but are not limited to the following tasks: Sunday through Thursday shall include: ■ Cleaning all seven (7) restrooms: • Scrub and sanitize all toilets, urinals, showers, sinks, fixtures and counters • Clean stall walls and mirrors • Sweep and damp mop all floors • Restock Supplies • Remove Trash ■ Clean all three (3) kitchens: ■ Sweep and damp mop all floors • Scrub sinks, strainers, counters and fixtures • Clean stoves and microwave ovens • Clean tables and as needed chairs, cabinets and outside of refrigerators • Wipe down all door jambs and window sills • Restock supplies • Remove trash/recycling ■ Wipe down all doorjambs and stairwells • Clean and sanitize drinking fountains • Vacuum and/or Mop: ■ Entryways, lobbies, Boardroom, elevator, stairwells, offices, corridors and hallways, including long hallway between the front and back areas Sunday, Tuesday & Thursday: • General • Vacuum and/or mop Boardroom, corridors, offices • Wipe doors and glass (foyer and lobby glass), door push/pulls/grab handles inside and out • Pine sol & water mixture to be used in all floor drains ■ Office Areas • Excluding computers, dust all above areas including all open horizontal surfaces: desks, tables, cabinets, shelves and rails • Dust tops of partition walls, half walls in Accounting, wall around upstairs kitchen and walls around upstairs copy room • Remove trash ■ First and Third Wednesday of the Month Q 4:00 p.m. ■ Sweep and damp mop lobby, entryway, wood floors in Board room • Vacuum Board Room and Board Conference Room • Clean glass doors and windows, door grab handles & push bars • Clean front restrooms • No use of elevator or vacuuming upstairs during Board meetings Page 2 of 3 On occasion it may be necessary to do a spot cleaning. This cleaning will be based upon an hourly cost Contractor will furnish and transport all necessary labor, tools, implements, and appliances required to perform and completely finish in a professional manner the general cleaning of the District headquarters office located at 11570 Donner Pass Road, Truckee, CA 96161. There are to be no visitors, guests or children at anytime while cleaning the District headquarters; cleaning staff ONLY. Page 3 of 3
