Subject: Consideration for Change Order No.1 for the Prosser Village Well
Maintenance 2016 project
1. WHY THIS MATTER IS BEFORE THE BOARD
District Code requires that all procurements in excess of $15,000 recieve Board
approval.
2. HISTORY
In December, 2015 the District publicly advertised request for bids for the Prosser
Village Well Maintenance 2016 project. At the January 20, 2015 meeting the Board
awarded a contract to Carson Pump, LLC. in the amount of $27,100, plus a $15,000
change order allowance for a total amount not to exceed $42,1000
The scope of work for this project include removal and reinstallation of the 250hp
motor, 450 of line shaft and inspection of 8" Flowserve pump assembly. Additionally,
the contractor shall conduct video inspection of the well column, perform an axial
alignment survey, and perform shop maintenanc and inspection to the pump and
3. NEW INFORMATION
During the removal and inspection of the Prosser Village Well pump and motor
assembly it has been determined that the well shaft and pump bowl assembly have
experienced signifcant wear damage and require replacement. The cost of replacing
a section of the well shaft, bearings, reatiners and pump bowl assembly is $18,637
and exceeds the Board approved change order allowance of $15,000. Approval for
an additional change order allownace in the amount of $6,000 will be required to
pocure the necessary materials, labor and taxes.
4. FISCAL IMPACT
Sufficient funds for this change order allownace are available in the FY16 Water
General Fund
5. RECOMMENDATION
Authorize an additional change order allowance for the Prosser Village Well
Maintenance 2016 Project in the amount of $6,000, for additional maintenance work
negotiated by the General Manager, for a total project amount not to exceed $48,100.
