Subject: Consideration to approve the Water Utility Valve Box Adjustments
associated with the Town of Truckee 2016 Paving and Drainage
Project
1. WHY THIS MATTER IS BEFORE THE BOARD
District Code requires all procurements with a total cost amount exceeding $15,000 be
approved by the Board.
2. HISTORY
The Town of Truckee manages paving and drainage improvement projects along the
Town's public right of ways on an annual basis. These projects range in scope from
complete roadway removal and replacements, to mill and overlay maintenance
projects. The Town of Truckee awards construction contracts for the annual paving
and drainage projects through a competitive bidding process. Included within the
project scope of work is a bid item for the excavation and adjustment of water utility
valve covers, located within the project boundaries, and owned by the District.
Following the award of the contract by the Town of Truckee, each year the District is
provided the option to either authorize the Town's contractor to perform the work at
the cost of the District, or perform the work utilizing District staff and equipment.
3. NEW INFORMATION
On August 23, 2016 the Town of Truckee 2016 Paving and Drainage Project was
awarded to Teichert Construction. Included in the project's Bid Summary are line
items for the adjustment of water valve covers. A breakdown of the itemized costs are
included in the following table:

District staff has evaluated the costs associated with the completion of the work, as
well as the potential impact on current District projects and maintenance operations,
and has determined the most beneficial option for the District is to authorize the
Town's contractor to complete the work at the cost of the District.
4. FISCAL IMPACT
Sufficient funds exist in the FY16 and FY17 Water Capital Budget and will be funded
from the Water General Fund.
S. RECOMMENDATION
Authorize the General Manager to accept the Town of Truckee proposal to complete
the water utility valve cover work associated with the Town of Truckee 2016 Paving
and Drainage Project, for a total cost to the District not to exceed $70,000.
