Subject: Consideration to Purchase One Fleet Vehicle
1. WHY THIS MATTER IS BEFORE THE BOARD
Board approval is required for procurements in excess of $15,000.
2. HISTORY
1®
In 2008, the District established the Electric and Water Vehicle Reserve Funds to
provide a source of funds for periodic vehicle replacement. Funds are added each
year by both the Water and Electric Departments as described in the adopted budget.
During the June 7, 2017 Board meeting, the Board approved the replacement of five
Water and Electric Department pickup trucks, which are currently on order wotj
Champion Chevrolet of Reno, Nevada.
3. NEW INFORMATION
The District maintains three pool vechicles for staff use. Staff uses these vehicles for
field work, offsite meetings, education, and events. At the end of 2016, one leased
vehicle was returned when the lease expired, which only left two vehicles in the pooled
fleet.
In 2016/2017, staff tried to maintain only two pool vehicles, however scheduling
conflicts continue to arise on a normal basis. Staff had identified a need for a
minimum of three pool vehciles to maintain a normal course of business practices.
Champion Chevrolet of Reno, NV. has agreed to honor the same bid price of
$27,391.25 for an additional vehcile, if ordered this year.
4. FISCAL IMPACT
Sufficient funds exist within the Electric Vehicle Reserve Fund for the purchase of this
vehicle.
5. RECOMMENDATION
Award the purchase of one 1/2 ton pickup truck to Champion Chevrolet of Reno,
Nevada for the amount of $27,391.25 with a 10% change order authorization, not to
exceed $30,130, plus applicable tax.
