Kuhlemier, CIVIC Date: July 15, 2020 Subject: Consideration to Adopt Resolution 2020-19 to Close Out the Warehouse Lighting Upgrade Project 1. WHY THIS MATTER IS BEFORE THE BOARD The Warehouse Lighting Upgrade Project is complete. A resolution accepting the project as complete requires Board approval. 2. HISTORY In April 2020, the Board awarded the construction contract for the Warehouse Lighting Upgrade Project to Sactown Contractors Corp (Sactown). This project included the installation of approximately 55 LED light fixtures in the warehouse of the District Office. Sactown began work in June, 2020 and completed the project in a weeks time. The original bid price was $44,820. At the time of award, the Board also established a 10 percent change order allowance of $4,482 for a total authorization not to exceed $49,302. 3. NEW INFORMATION During the course of the project, two Change Order Requests were received and reviewed by staff. After review and discussion, the District and Sactown agreed on a total of $1,526.96 for these changes. The items fell under the following categories not in the original project scope: • Additional lighting to warehouse backroom; • Additional lights and sensors in Mezzanine area. In late June, 2020 District staff performed a final walkthrough of the project. The work performed is complete and is ready to be accepted by the District. Attached is proposed Resolution 2020-19 accepting the project and directing that a Notice of Completion be filed. 4. FISCAL IMPACT This project was included in the Board approved FY20 budget and sufficient funds exist in the Conservation Budget. The original bid price was $44,819.87. With the two change orders, the final contract price is $46,346.83, which is within the approved authorization. RECOMMENDATION Adopt Resolution 2020-19 accepting the Warehouse Lighting Upgrade Project as complete and authorize the filing of the Notice of Completion. Shanna D. Kuhlemier, CMC District Clerk Resolution No. 2020-19 AUTHORIZING THE ACCEPTANCE OF THE WAREHOUSE LIGHTING UPGRADE PROJECT AND DIRECTING FILING OF THE NOTICE OF COMPLETION WHEREAS, the Board of Directors of the Truckee Donner Public Utility District made the determination to undertake the Warehouse Lighting Upgrade Project; and WHEREAS, Sactown Contractors Corp was selected by the District to perform the work; and WHEREAS, Sactown Contractors Corp has completed all of the Work included in the Project. NOW THEREFORE BE IT RESOLVED by the Board of Directors of the District as follows: 1. That the District hereby accepts the Warehouse Lighting Upgrade Project as complete. 2. That the Clerk of the District be directed to file with the County of Nevada the Notice of Completion, a copy of which is attached hereto. 3. That 35 days following the filing of the Notice of Completion, the monies retained from the contractor payments be released to the contractor if no claims have been made to the District by material suppliers or laborers. That the subject improvements of the Notice are generally described and identified as follows: Warehouse Lighting Upgrade Project. 5. That the name and address of the contractor for such project was: Sactown Contractors Corp, 8505 Windford Way, Antelope, CA 95843.
