WHY THIS MATTER IS BEFORE THE BOARD 2. HISTORY In August 2015, the Board awarded the construction contract for the Sun Valley Road Pipeline Replacement project to Longo Incorporated of Tahoe City, California. The project involved replacement of about 750 feet of pipeline along Sun Valley Road. The original bid price was $225,634. At the time of award, the Board also established a 10 percent change order allowance for a total for a total authorization not to exceed $248,000. 3. NEW INFORMATION Longo began work in September and completed the construction in early November. District staff has performed a final walkthrough on the project. The work is complete and should be accepted by the District. There were no change order requests submitted by the contractor. The contract is based on a unit price bid. Attachment 1 shows the differences between bid totals and the amounts actually constructed. This analysis results in a $3,883 credit to the District. Attached is a draft resolution 2015-23 (Attachment 2) accepting the project and directing that a Notice of Completion be filed. 4. FISCAL IMPACT The original bid price was $225,634. Once an adjustment is made to reconcile the bid quantities versus the actually constructed quantities, the final contract price is $221,751. As discussed at the time of award, the anticipated funding source for the project is the Water Department Capital Replacement Fund. Once that fund is depleted the anticipated funding source for the project is the Water Department Operating Reserve Fund. 5. RECOMMENDATION Adopt Resolution 2015-23 accepting the Sun Valley Road Pipeline Replacement project as complete and authorize the filing of the Notice of Completion. Michael D. Holley, has recommended that the work be accepted by the District; NOW THEREFORE BE IT RESOLVED by the Board of Directors of the District as follows: 1. That the District hereby accepts the Sun Valley Road Pipeline 2015 Project as complete. 2. That the Clerk of the District be directed to file with the County of Nevada the Notice of Completion, a copy of which is attached hereto. 3. That 35 days following the filing of the Notice of Completion, the monies retained from the contractor payments be released to the contractor if no claims have been made to the District by material suppliers, laborers, or sub -contractors.
