Subject: Consideration of a Change Order to the Martis Well Maintenance
Contract 2013
1. WHY THIS MATTER IS BEFORE THE BOARD
Board approval is required for expenditures in excess of $15,000.
2. HISTORY
At the January 16, 2013 meeting, the Board awarded a contract in the amount of
$25,125 to Layne Christensen Company for Martis Well maintenance. The well pump
needed to be pulled and rebuilt because Martis Well had lost 20% of its pumping
capacity over the last few months.
3. NEW INFORMATION
On February 5, 2013, the pumping equipment was pulled and was found to have
extensive damage requiring that a new pump be procured and installed. A change
order is required to complete the project. The change order will include:
1) $8,010 Provide additional labor and parts needed to straighten line shafts,
machine lantern rings, rebuild packing box, and refurbish discharge
head.
2) $17,560 Procure new well pump.
3) $4,040 Perform an inspection video and deviation survey on the well to verify
there are no other problems.
4. FISCAL IMPACT
The change order adds an additional $29,610 to the original contract, bringing the total
amount of the contract to $54,735. Sufficient funds exist within the approved FY13
budget for this contract.
5. RECOMMENDATION
Authorize Change Order #1 to the Layne Christensen Company contract in the amount
of $29,610 for a new contract total not to exceed $54,735, plus a 10% change order
authorization of $5,474.
