Subject: Consideration of an Extension to the Fuel Contract with Western
Energetix
1. WHY THIS MATTER IS BEFORE THE BOARD
The item before the Board is a proposed four month fuel contract extension.
Expenditures greater than $15,000 must be approved by the Board.
2. HISTORY
The District spends an average of $11,000 per month for fuel. Most of the fuel is
purchased at the Western Energetix/Flyers card lock fuel system on Church Street, in
Truckee.
The District last went out to bid for fuel in May 2009. The contract was awarded for
two years with an optional one year extension. This contract expires on May 23, 2012.
3. NEW INFORMATION
District staff has been working with the Town of Truckee to use their new fueling
facilities, located at their new corp yard.
The Town fueling facility is complete, but needs additional card reader equipment to
accommodate the District use of the system. It is anticipated that the facilities will be
available in June 2012; therefore, an extension to the existing contract is needed.
4. FISCAL IMPACT
Extension of the existing contract will result in no additional costs. Sufficient funds
exist in the approved FY12 Budget for this expenditure.
5. RECOMMENDATION
Authorize a four month extension of the existing fuel contract with Western Energetix,
through September 22, 2012, for the District's gasoline and diesel fuel purchases.
