Subject: Consideration of a Change Order to the Fibreboard Well
Maintenance 2013 Contract
1. WHY THIS MATTER IS BEFORE THE BOARD
Board approval is required for expenditures in excess of $15,000.
2. HISTORY
At the December 5, 2012 meeting, the Board awarded a contract in the amount of
$32,500 to Carson Pump, LLC. for the Fibreboard Well Maintenance 2013. This item
was included within the Authorization of Routine Annual Procurements and Contracts
FY13.
3. NEW INFORMATION
The contract with Carson pump, LLC. for the Fibreboard Well Maintenance 2013
included the removal and reinstallation of existing pump column and line shaft as a
function of the repair or replacement of a Goulds 10 stage pump bowl assembly. In
April, 2013 Carson Pump, LLC. removed the pump assembly and found the pump to
be beyond repair and would require replacement. Additionally, four of the bronze shaft
retainers had failed causing damage to the pump shaft and bearings. A change order
is required to complete the project. The $3,660 change order includes additional labor
and parts needed to straighten the pump line shaft and replace the damaged bronze
retainer bearings.
4. FISCAL IMPACT
The change order adds an additional $3,660 to the original contract, bringing the total
amount of the contract to $36,160. Sufficient funds exist within the approved FY13
Water Operations Budget for this contract.
5. RECOMMENDATION
Authorize Change Order #1 to the Fibreboard Well Maintenance 2013 contract in the
amount of $3,660 for a new contract total amount of $36,160.
