Subject: Tree Trimming Contract Bid Award
1. WHY THIS MATTER IS BEFORE THE BOARD
Only the Board can approve bid awards over $15,000.
2. HISTORY
At the June 4, 2008 Board meeting, a workshop was presented to discuss the
District's tree trimming procedures. The Bid period for tree trimming services began on
ay 22, 2008. The District received 3 bids by the
April 18, 2008 and ended on M
deadline from the following contractors: Davey Tree Surgery Company, Harrison's
Tree Service, and Loggers Unlimited, Inc.
3. NEW INFORMATION
The lowest Bid was determined by a comparison of unit prices for the various tree
trimming services as submitted on the Bid Schedules. Harrison's Tree Service
submitted the lowest bid. However, they did not submit the required bid bond and
were therefore non-responsive to our Contract. Loggers Unlimited submitted the next
lowest bid and were fully compliant with our Contract requirements.
4. FISCAL IMPACT
Funding for Tree Trimming and Pole Clearing operations in the approved FY 2008
budget is $250,000. Funds totaling approximately $7,000 were expended in May of
this year to remove trees that had fallen into our distribution facilities or were in
immediate danger of failing.
5. RECOMMENDATION
Find Harrison's Tree Service non-responsive with the District Contract.
Award the Tree Trimming Contract to Loggers Unlimited, Inc. for an amount not to
exceed $250,000 less monies previously expended for tree trimming.
