Subject: Consideration of a Resolution Accepting Final Completion of the
Covered Parking - Carport Structure # 3 Project
1. WHY THIS MATTER IS BEFORE THE BOARD
The TDPUD Covered Parking - Carport Structure # 3 project is complete. This matter
is before the Board as authorizing the acceptance of the TDPUD Covered Parking -
Carport Structure # 3 and directing the filing of the Notice of Completion requires the
adoption of a Resolution by the Board.
2. HISTORY
On November 5, 2008, the Board awarded a contract with Plummerbuilt, Inc. for the
construction of the TDPUD Covered Parking - Carport Structure # 3. The base
contract amount was $144,748.00 with a 5% change order authorization in the amount
of$7,237.40, for a total amount not to exceed $151,985.40.
On March 4, 2009, a change order was approved by the Board in the amount of
$34,119.74 for building design changes required by the Town of Truckee.
3. NEW INFORMATION
The construction of the TDPUD Covered Parking - Carport Structure # 3 had a second
change order in the amount of $6,508.40 for additional paving and footing design,
which was within the original 5% change order authorization amount approved by the
Board. The final installation cost was $185,376.14 (see Attachment 1).
On November 13th, District staff performed a final walkthrough on the project and
concluded that the project installation was complete. Staff is requesting that the
Board authorize the acceptance of the TDPUD Covered Parking - Carport Structure #
3 and that staff be directed to file the Notice of Completion by approving the attached
Resolution (see Attachment 2).
4. FISCAL IMPACT
Sufficient funds exist within the existing FY09 Budget to cover the cost of this project.
5. RECOMMENDATION
Adopt a Resolution accepting the TDPUD Covered Parking - Carport Structure # 3
project as complete and authorize the filing of the Notice of Completion.

The amount of the Contract will be increased by a sum not to exceed $6,508.40 and the Contract Time shall not
be extended. The undersigned Contractor approves the foregoing Change Order as to the changes, if any, in the
contract price specified for each item including any and all supervision costs and other miscellaneous costs
relating to the change in work, and as to the extension of time allowed, if any, for completion of the entire work on
account of said Change Order. The Contractor agrees to furnish all labor and materials and perform all other
necessary work, inclusive of the directly or indirectly related to the approved time extension, required to complete
the Change order itEps. This document will become a supplement of the contract and all provisions will apply
hereto. It is under t that the Change Order shall be effective when approved by the District.

AUTHORIZING THE ACCEPTANCE OF
COVERED PARKING — CARPORT STRUCTURE #3 PROJECT —
AND DIRECTING FILING OF THE NOTICE OF COMPLETION
WHEREAS,the Board of Directors of the Truckee Donner Public Utility District made the determination
to undertake the project of converting the District Complex to Natural Gas for heating: and
WHEREAS, Plummerbuilt Inc. of Herald, Ca. was selected by the District to perform the work; and
WHEREAS, Electric Superintendent James Wilson, now certifies the completion of the project; and
WHEREAS, the District's General Manager, Michael D. Holley, has recommended that the work be
accepted by the District;
NOW, THEREFORE, IT IS HEREBY RESOLVED, by the Board of Directors of the District as follows:
1. That the District hereby accepts the Covered Parking— Carport Structure #3 as complete.
2. That the Clerk of the District be directed to file with the County of Nevada the Notice of
Completion, a copy of which is attached hereto.
3. That 35 days following the filing of the Notice of Completion, the monies retained from the
contractor payments be released to the contractor if no claims have been made to the District
by material suppliers, laborers or sub-contractors.

meeting duly called and held within said District on the second day of December 2009 by the following

pursuant to Resolution 2009-XX of the Truckee Donner Public Utility District, the awarding authority.
