Subject: Consideration of a Change Order for the Tree Trimming Contract
1. WHY THIS MATTER IS BEFORE THE BOARD
Only the Board of Directors can issue a Change Order of this magnitude.
2. HISTORY
Tree trimming is an important part of the District's continuing goal to provide electric
system reliability, fire prevention, and public safety. To achieve this, the District
issued a request for bids on April 15, 2009. On May 20, 2009, the Board of Directors
awarded the Electric Line Clearance Tree Trimming and Pole Clearing contract to
Loggers Unlimited Inc. in the amount of$192,000 with no change order authority.
3. NEW INFORMATION
A portion of the Electric Line Clearance Tree Trimming and Pole Clearing 2009 project
is scheduled to take place in the Sierra Meadows subdivision. Most homes in this
area have fenced yards, thereby limiting our access to the backyard overhead power
line easements. District employees have just recently completed meeting with
affected customers, and have identified an additional 80 trees to be removed and/or
trimmed. Work on these 80 trees were not in the original scope of work. District staff
requested a cost estimate from the Contractor to perform this additional work. The
Contractor responded with an estimate of$20,000 to perform the additional work.
4. FISCAL IMPACT
The total cost of the change order is $20,000. Surplus funds exist in the approved FY
09 budget to cover this change order.
5. RECOMMENDATION
Authorize Contract Change Order No.1 in the amount of $20,000 increasing the total
contract amount from $192,000 to $212,000.
