SUBJECT: Consideration of Approving Vendor Correction of Previously
Approved Annual Procurement Item.

RECOMMENDATION:
Authorize the General Manager to correct an administrative error in the vendor support
services contract for the District's hyper-converged data center environment that was
approved in the "FY24 Annual Contract and Procurements" item from the December 6,
2023 Board meeting whereby:
A. The Board rescinds approval of the procurement contract with CDW Government
Inc. for Nutanix support services for an amount not exceed $380,000; and
B. Board approves a procurement contract with ePlus for Nutanix support services
for an amount not to exceed $380,000.
BACKGROUND:
On December 6, 2024, the Board approved the Districts FY2024 Annual Procurements,
including special services for IT networks and software support. Included in the annual
procurements requisition was a 45-month Nutanix Support Services Contract in an
amount not to exceed $380,000.
ANALYSIS AND BODY:
During the process of executing the approved contracts with their respective vendors,
staff identified an administrative error in which CDW Government Inc. was identified as
the vendor for Nutanic Support Services, when in fact, the vendor determined to be
awarded the contract through the District's procurement process should have been
ePlus. To correct the administrative oversite, staff is recommending the Board rescind
its approval of the procurement with CDW Government, Inc. and authorize the General
Manager to execute a contract with ePlus.
