Holzmeister, General Manager Date: 04/14/00 Town of Truckee lease Please review the attached note prepared by Andy Otto describing a meeting I had with him. The Town is in the final stages of acquiring the old Truckee River Bank building on Airport Road. They need to have tenant improvements made before they can occupy the building. They believe the building will be ready for them on about October 1, 2000. Given the above timeline, and the fact that their lease of space in our building terminates on April 30, 2000, the Town would like to extend the lease until August 31, 2000. The Town proposes to honor all terms and conditions of the current lease, including the CPI increase in rent, which takes effect on July 1, 2000. The one exception they ask us to consider is the requirement that they restore the rented space to it previous condition. They would like us to take the space back as is, thus saving them the cost of removing their office walls. We do not make use of offices with walls and doors. Our organization culture has utilized an open office environment We believe it promotes greater teamwork. I am reluctant to place employees in traditional offices. However, there may be improvements that they made that are useful to us, such as customer counters, the air conditioning system, a conference room, and a small kitchen area. I would like the board to allow me to decide which improvements stay and which are removed by the Town. Recommendation I recommend that the Board approve an extension of the current lease of office space to the Town of Truckee to August 31, 2000,with the option for the Town to extend it for two thirty day periods at their discretion, under the terms and conditions of the current lease, and that the Town remove tenant improvements designated by the General Manager. 0 page 1 Peter Holzmeister, -- - From: Andy Otto [andyotto@telis.org] Sent: Wednesday, April 12, 2000 8:44 AM To: Jill Olsen; 'Steve Wright', 'Peter Holzmeister' Cc: Steve Carpenter Subject: Town of Truckee/TDPUD lease extensions Dear Jill, Steve, and Peter: Summary of meeting with Peter Holzmeister on April 11, 2000 1 met with Peter concerning an extension of your existing lease and other matters as such: 1) The Town would like an extension of their lease until 8/31/2000 with two additional 30 day options to extend (until possibly 10/31/2000). 2) The TDPUD will adjust the rent on 7/1/2000 per the CPI index and their existing lease. 3) The TDPUD will assess the existing tenant improvements to determine which, if any, can stay. He should be determining this within the week. Peter will get back to us as soon as possible on the above and then we will proceed with drawing up the necessary documents.
