HomeMy WebLinkAboutRES 1985-05 - Board RESOLUTION NO. 85 05 OF THE TRUCKEE DONNER PUBLIC UTILITY DISTRICT AUTHORIZING A CALL FOR PROPOSALS FOR JANITORIAL SERVICES WHEREAS, it is necessary that the Truckee Donner Public Utility i District employ a janitorial service to perform the duties described in Exhibit "A" attached hereto; NOW, THEREFORE, BE IT RESOLVED by the Board of Directors of the Truckee Donner Public Utility District as follows: 1. The Board does hereby approve the duties expected of the janitorial service as described in Exhibit "A" attached hereto. 2. The President of the Board is hereby directed to issue a call for proposals; the date and time established for the bid opening is 4:00 P.M. on Monday, February 25 , 1985. PASSED AND ADOPTED by the Board of Directors of the Truckee Donner Public Utility District at a meeting dull, called and held in said District on the 21st day of January 1985, by the following roll call vote. Craig, Deputy Dist, ct Clerk Truckee Donner Public Utility District + Post Office Box 309•11570 Donner Pass Road•Truckee.California 95734 (916) 587-3896 REQUEST FOR PROPOSALS January 30, 1985 JANITORIAL SERVICES Proposals for janitorial services will be received by the Truckee Donner Public Utility District up to the hour of 4:00 P.M. on Mon- day, February 25, 1985. Proposals must be marked "janitorial service proposal," and may be mailed or delivered to the address above. The successful bidder will be required to submit a work schedule outlining on which days the janitorial services are to be performed. The contract will not be awarded until the District has approved such work schedule. The successful bidder will be notified after the bid opening and will have three days from notification to furnish the work schedule. The contract will be awarded on or about March 4, 1985. The District specifically reserves the right to waive any informalities, to reject all proposals, or to award to other than Kbp low bidder. f smc TERMS OF CONTRACT A) Length of contract: The term of the contract shall be one year from signing of the contract, and may be renewed at the option of both parties for one additional year. B) Termination of contract: Either party of this agreement may terminate the agreement by giving thirty days written notice in advance. C) Certification of insurance: The janitorial service shall carry Workers' Compensation Insurance, Public Liability Insurance in the amount of $100,000 per person and $300,000 per accident, and Property Damage Insurance in the amount of $100,000 per accident and $300,000 aggregate or, in the alternative, a combined sign Le limit of $300,000 per occur- rence/aggregate bodily injury and property damage. D) Billings: Billings under this agreement shall be submitted monthly by the janitorial service to the Truckee Danner Public Utility District SUPPLIES AND EQUIPMENT A) The janitorial service will furnish all supplies and equipment except paper towels, toilet paper, hand soap and trash bags, CLEANING SERVICES TO BE PERFORMED OFFICE A) Duties to be performed once a week 'unless indicated otherwise, excluding computer room: 1) Empty waste baskets - two (2) times per week 2) Empty and clean ash trays - two (2) times per week *3) Vacuum carpets and floors - two (2) times per week 4) Clean glass doors of all finger prints and marks **S) Sweep and mop kitchen, bathroom and entry floors - apply protective coating to all linoleum floors monthly 6) Dust desks and furniture 7) Clean bathrooms 8) Clean surface areas throughout offices (i.e., dust heaters and window sills, wash tables, counters, outside of refriger- ators and garbage containers in kitchens) 9) Put boxes left in garage into trash bin B) Computer room - duties to be performed once a week: 1) Clean all surfaces with a damp cloth. DO NOT Use any cleaning solution unless it is provided by the Distiict and you are asked specifically to use it 2) Mop linoleum floor with a damp mop. DO NOT sweep floor. DO NOT use any protective coating on this floor. 3) Clean blinds weekly with a damp cloth only C) The following items will be required on an as-needed basis. Please provide cost to perform each item: 1) Clean light fixtures $ 2) Shampoo carpets $ 3) Dust and clean blinds $ 4) Clean windows inside and outside 5) Dust/clean walls, oil panelings and cupboards $ 6) Strip and wax kitchen floors, entry floor, bath- $ room floors WAREHOUSE A) Duties to be performed once a week unless indicated otherwise: 1) Empty waste baskets in warehouse office and lunch room two (2) times per week 2) Empty and clean ashtrays as needed *3) Vacuum warehouse office carpet two (2) times per week 4) Sweep and mop lunch room floor **5) Dust desks and furniture 6) Clean bathroom including urinal and toilet 7) Clean surface areas throughout warehouse office and lunch room (i.e., dust heaters and window sills, Nash tables, counters, outside of refrigerator and garbage containers) B) The following items will be required on an as-needed basis. Please provide cost to perform each item: 1) Shampoo carpet 2) Dust and clean blinds $ 3) Clean windows inside and out $ 4) Strip and wax lunch room floor $ From time to time, material will be setting on the floor and to vacuum under said material would not be practical. This will be a temporary condition. ** Not expected to move papers, folders, books, etc. in order to clean desk top. Desks that are cleared are to be cleaned. METHOD OF SERVICE A) Waste baskets are to be lined with plastic liners and changed when necessary in Customer Services, bathrooms and kitchens. B) Ash trays are to be emptied and cleaned with a moist cloth. C) Restrooms: 1) Toilets and sinks are to be cleaned with a commercial dis- infectant cleaner 2) Mirrors in restrooms are to be cleaned with a commercial glass cleaner i D) Carpets are to be vacuumed with a commercial beater-type vacuum cleaner twice a week. AREAS TO BE CLEANED A) Main office at 11570 Donner Pass Road, Truckee, California. B) Warehouse office adjoining main office on Donner Pass Road, Truckee, California. BID The bid shall be a monthly lump sum price for performing those duties as specified in this proposal. The anticipated number of hours that the bidder feels it will take to perform these duties should be included. All items that are requested on an as-needed basis will be in addition to the monthly lump sum quoted, and shall be invoiced separately. lump sum per month for duties described in CLEANING SERVICES TO BE PER1 FORMED - Office, Items A and B and Warehouse, Item A.
